EDI 214 Status Updates — meet retail SLAs without manual entry
EDI 214 is how a carrier tells a shipper where a load is in its lifecycle. Big retail shippers tie 214 SLA performance directly to routing-guide rank, so a 90% on-time-status carrier loses lanes to a 98% carrier even at the same rate. Here's the operational playbook.
The status codes that matter
AB — Appointment scheduled. AF — Carrier departed terminal with shipment. X3 — Arrived at pickup (geofence trigger). AG — Loaded. X6 — Departed shipper (in transit). X1 — Arrived at consignee. D1 — Delivered (triggers POD upload and invoice). CD — Carrier departed delivery. A3/A7/A9 — Exception codes (refused, damaged, OS&D).
Walmart, Target, Home Depot SLAs
Walmart MABD requires X3 within 15 minutes of pickup geofence entry. Below 95% on-time = drop tiers.
Target requires hourly in-transit pings on long lanes (>500mi) — 214 or Project44/FourKites equivalent.
Home Depot tracks D1 against expected delivery — late D1 without prior X1 + delay code = OTIF miss = chargeback.
Geofence-driven automation
Hayes pulls live ELD position from Samsara, Motive, Geotab, Omnitracs, PeopleNet, EROAD and triggers X3/X6/X1/D1 on geofence enter/exit.
Geofence sizing: 0.25mi for tight warehouses, 0.5mi for DCs, 1mi for ports. Too tight = drivers in queue don't trigger; too wide = ping while on the freeway.
Fall-back: if ELD goes offline, the driver app prompts manual confirmation and logs the source ('eld' vs 'driver-manual') for audit.
Common 214 mistakes
Sending D1 before POD upload: shipper marks delivered, then driver finds OS&D — dispute is harder.
Wrong delay reason code: '003 Truck breakdown' vs '008 Weather' has very different chargeback implications.
Test-environment 214s leaking to prod: pin VAN endpoints by environment.
Frequently asked questions
Can Project44/FourKites replace 214?
For visibility, yes — most large shippers accept API tracking as a 214 substitute. For invoicing and audit, you still want true EDI 214.
What's the 214 'free pool'?
Most VANs include 5,000–10,000 214s in base pricing. Move to AS2 direct or a flat-rate plan above that.
How does Hayes handle 214 backlog after ELD outage?
We queue geofence events and emit 214s in chronological order once ELD reconnects. SLA timestamps reflect actual event time.
